A Hotel Booking System That Knows What Is Actually Available
A hotel booking system holds reservations, availability and room allocation. In WingPMS, each booking is one record carrying dates, rate, room type, guest and status — checked against real room availability, including rooms held out of service, and visible to the front desk and housekeeping the moment it is made.
Selling a room twice is the most expensive mistake a small hotel makes, and it almost never happens because someone was careless. It happens because two people were working from two copies of the truth.

Availability is only meaningful if it reflects the building.
Most booking problems are not booking problems. They are availability problems. A room is recorded as sellable because nothing says otherwise — but it is out of service for a leaking tap, or it was allocated to a guest extending their stay, or it was sold an hour ago in a different window of the same spreadsheet.
The harder version of this arrives with modifications. A stay extended by two nights, a group splitting across two payers, a room move after check-in — each of these is where a booking record either holds together or fragments into notes.
What it looks like day to day
A room is sold twice because two people edited the sheet in the same hour.
An extension is refused because nobody could see that the following night was free.
A room out of service for maintenance is allocated to an arriving guest.
A group booking exists as five rows with no connection between them.
The rate a guest was quoted on the phone does not match what is recorded.

From enquiry to confirmed reservation
Availability is checked against room state
Not just against what has been sold — rooms held for maintenance or already allocated are excluded automatically.
The reservation is created once
Dates, room type, rate, guest, party size and source captured in a single record, whatever channel it arrived through.
A room is allocated
Either immediately or at check-in, depending on how your property prefers to work.
The guest is attached
A new profile is created, or an existing one matched, so a returning guest is recognised as the same person.
Changes stay on the record
Extensions, room moves, rate changes and cancellations modify the reservation rather than creating a parallel note.
Operations sees it immediately
The front desk arrivals list and the housekeeping priority queue both update without anyone forwarding anything.

Implementation
Getting your inventory and rates right first
Reservation setup is where implementation either goes smoothly or gets stuck. The room and rate structure defined at the start determines how everything else behaves, so it is worth spending real time on before any bookings are loaded.
The most common problem is room types that have drifted. The website says "Deluxe Double", the spreadsheet says "DD", and the channel listing says "Superior Queen" — for the same room. Reconciling those names before migration prevents a long tail of confusion afterwards.
Forward bookings are then imported from today onwards. Historical reservations are optional; most properties find they are not needed to operate and can be archived separately.

- Is a booking system the same as a booking engine?
- No. A booking engine is the widget that takes a reservation on your website. A booking or reservation system is where that reservation lives and is managed — including bookings that arrived by phone, WhatsApp or a channel. WingPMS includes both, and the engine writes into the same records.
- Can we allocate rooms at check-in instead of at booking?
- Yes. Some properties assign a specific room when the booking is made; others hold the room type and allocate on arrival day. WingPMS supports both, and you can mix — allocating specific rooms only where a guest has a stated preference.
- How are group bookings handled?
- Multiple rooms are held under one booking with a shared reference, and billing can be split so part of the stay is charged to an organiser and part to individual guests. Each room still appears on the front desk and housekeeping views as its own arrival.
- Does WingPMS connect to a channel manager?
- Channel connectivity is on the integrations roadmap and we will say plainly where each connection currently stands rather than implying a list is live. If you sell through channels today, ask us about the specific one during a working session.
