Direct booking

A Direct Booking Path You Actually Own

Hotel direct booking software lets guests book on your own website against live availability. In WingPMS the booking creates the same reservation record as any other source and the same guest profile your team sees on a return visit, so a direct booking becomes a relationship your hotel keeps rather than a one-off transaction.

Channels do real work — they put your property in front of people who have never heard of it. The question worth asking is narrower: what happens to the guests who were already going to find you directly?

The problem

The booking path is usually longer than it needs to be.

A significant share of the people on your website found you deliberately — by name, after a recommendation or after seeing the property somewhere else. They are not comparing. They are trying to book. When they end up on a channel anyway, price is rarely the reason; the reason is that booking directly took more effort.

Walk your own booking journey on a phone, on mobile data, as someone who has never seen the site. Count the taps between arriving and being able to confirm. Most independent hotel websites have several more than they need, and at least one point where the guest is asked to send an email and wait.

What it looks like day to day

  • The website asks a guest to enquire rather than showing availability.

  • Rates are hidden until the guest has given their personal details.

  • The booking form has fields nobody ever reads the answers to.

  • A confirmed booking on the website is re-entered by hand into the system reception works from.

  • A guest who books directly leaves behind no record you can use next year.

How it works

Website to stay to follow-up

  1. A guest sees live availability

Real rooms for their dates, with the rate and what is included visible before any details are asked for.

  2. They book directly

On your site, at your rates, under your conditions — on a phone, in portrait, with one hand.

  3. A reservation is created

The same record the front desk works from, with no re-entry and no gap between the website and operations.

  4. A guest profile is created or matched

Their details become a record your hotel owns, matched against previous stays where they exist.

  5. The stay runs normally

The booking flows into arrivals, room allocation and housekeeping like any other reservation.

  6. The relationship stays with you

After check-out the profile and stay history remain, so the next booking can start from what you know.

In the product

What direct booking includes

Live availability

Real inventory for the guest's dates, not an enquiry form with a delay attached.

Mobile-first flow

Designed for a phone first, because that is where most direct bookings are attempted.

Transparent rates

Price and inclusions shown before personal details are requested.

Short forms

Only the fields your property will act on, because every extra field costs completions.

Immediate confirmation

A confirmation that reaches the guest straight away, as part of the conversion rather than after it.

Payment handoff

Deposit or full payment through your payment provider, recorded against the reservation.

Guest capture

A profile created or matched, so the relationship is yours after the stay.

Source reporting

Direct business tracked separately, so you can see whether it is actually growing.

Website embedding

A booking path that sits on your existing site rather than requiring a new one.

Implementation

What has to be true for direct booking to work

The software is the easy part. Direct booking works when the rest of the path is in order: accurate availability, rates the guest can understand, a website that loads quickly on mobile data, and someone answering enquiries that arrive by other routes on the same day they arrive.

We start most direct booking conversations with an audit of the current journey rather than with the product, because in a meaningful share of cases the biggest wins are in what already exists. That audit is free and you keep it whether or not you use WingPMS.

One honest note on rates: rate parity terms in your channel agreements may limit what you can offer directly. Value that costs you little and means something to a guest — flexible check-out, a known room preference, direct contact before arrival — tends to work better than discounting anyway.

What we need from your property

  • Your website, and whoever can add a booking path to it
  • Room types and rates as you want them presented to guests
  • A payment provider, or the intent to choose one
  • Your cancellation and deposit policies in plain language
  • Clarity on any rate parity terms in your channel agreements

Being straight with you

What we will not claim

  • Direct booking will not replace distribution. Channels reach guests who have never heard of your property, and that is real value.

  • We do not publish a percentage by which WingPMS reduces commission. That number depends on your mix, your market and your website, and any vendor quoting one without seeing your data is guessing.

  • A booking path cannot fix a website that does not rank, load or convince. If that is the actual problem, the audit will say so.

Questions hotels ask us

Does WingPMS replace our booking engine?
It can. Direct booking is part of the platform rather than a separate product, so bookings create the same reservation record the front desk works from. If you already run a booking engine you are happy with, it can stay — what matters is that its bookings reach your operational records without re-entry.
Will this reduce our OTA commissions?
It can reduce commission on guests who were already going to find you directly. By how much depends on your channel mix, your market and your website, so we do not publish a figure. The commission calculator lets you model your own numbers with the assumptions visible.
Can we offer a better rate for direct bookings?
That depends on the rate parity terms in your channel agreements, which vary by contract and by market. Where parity applies, added value that costs you little — flexible check-out, a known preference, breakfast — is usually the more effective lever than price.
Do we need a new website?
No. The booking path is designed to sit on the website you already have. If the site itself is the constraint, the free digital audit will say so plainly rather than selling you a booking engine that cannot fix it.
