The problem
A PMS is only useful if the whole property is on it.
The usual failure is not that a hotel chooses the wrong system. It is that only part of the property ends up using it. Reservations go in, but room status is still passed by phone. The front desk uses it, but housekeeping never opens it. Within a few months the hotel is running two systems and reconciling them by hand.
That happens when the software is heavier than the job. Screens designed for a 400-room property with four departments become friction at a 40-room property with six people on shift. So the shortcuts come back, and the shortcuts are the old system.

How it works
One record, followed through the stay
Every part of WingPMS writes to the same reservation, room and guest record. Nothing is re-entered as it moves between departments.
The booking arrives
From your website, a WhatsApp conversation, a phone call or a connected channel — it becomes one reservation record with dates, rate, room type and guest.
The room is allocated
Availability is checked against real room state, not just what has been sold, so a room that is out of service is never allocated by accident.
The guest checks in
Reception sees the reservation, the guest's history and the room's current status on one screen, and completes check-in from there.
Operations run against the same day
Housekeeping works a queue ordered by arrival time; guest requests become tracked tasks with an owner.
The guest checks out
The folio closes, the room drops to dirty, and the cleaning queue updates without anyone telling it.
The record stays with the hotel
The stay joins the guest profile, so the next booking starts from what you already know.

Implementation
What it takes to get a property live
Implementation is mostly a data exercise. Rooms and room types are defined, rate structure is loaded, forward bookings are imported, and staff are trained on your property rather than a demo one. For an independent hotel with tidy records this is measured in days.
What extends the timeline is almost always data quality: room type names that vary between the spreadsheet and the website, rates that exist in three versions, forward bookings recorded in a format no one else can read. Cleaning that up before migration is the single most useful thing a property can do.
We then recommend a defined parallel-run period with a hard switch-off date. Properties that run both systems indefinitely have not migrated — they have added one.

- Your current rate structure, including any seasonal or channel variations
- Forward bookings from today onwards, in whatever format they exist
- Guest records you want carried over, if you have them
- One named person at the property who owns the change

Being straight with you
When WingPMS is not the right answer
You operate a large chain property with an existing enterprise PMS, central reservations and a brand-mandated stack. Replacing that is a different kind of project.
You need full financial accounting, payroll and procurement in the same system. WingPMS covers the billing workflow and hands off to your accounting software; it is not an ERP.
You run a hostel with bed-level inventory or student housing with tenancy agreements. Those are different products with different records.
You have fewer than about ten rooms, take most bookings yourself, and one person covers reception and housekeeping. A spreadsheet may genuinely still be cheaper.

- How long does it take to get a hotel live on WingPMS?
- For an independent property with clean room, rate and booking data, setup and training are typically measured in days, followed by a short parallel-run period. Data quality is the variable that moves this most — a property whose room types and rates are inconsistent across systems should expect longer.
- Can we migrate from our current PMS or spreadsheet?
- Yes. Forward bookings, room and rate structure and guest records can be imported. Historical bookings can either be imported or kept as an archive; they are not needed to begin operating, and leaving them out often makes the migration faster.
- Does WingPMS work on a phone?
- The operational views that are used away from a desk — housekeeping queues, room status updates and task completion — are built for a phone. Reservation management and reporting are designed for a desk screen, because that is where they are actually done.
- What happens if the internet goes down at the front desk?
- WingPMS is a hosted system, so an extended outage affects access. We recommend every property keeps a printed arrivals and departures list for the day as a fallback, which WingPMS can produce, and we will say plainly during evaluation that a fully offline front desk is not something WingPMS provides.
- Can we export our own data?
- Yes. Reservation and guest data can be exported in a standard format. We think the ability to leave is a reasonable thing for a hotel to ask about before signing, and a vendor who is evasive about it is telling you something.
